Automation Workflows

There's a person at your company copying data from one screen to another.

Every day, at the same time, doing the same thing. Nobody hired them for that. A workflow is that task, done on its own, without anyone ever touching it again.

✓One-time setup and $29 a month for hosting and monitoring
✓Up and running in 5 to 10 business days
✓It's the cheapest way to test whether this works for your company
A real workflow

Before and after

Before: the customer's purchase order arrives by email. Someone opens it, reads the PDF, logs into the system, creates the order by hand, checks that the price matches and lets the salesperson know on WhatsApp. 18 minutes. Forty times a day.

After: the email arrives. The order shows up already created in the system, with its lines and its price, and the salesperson gets the notification. Nobody did anything.

That's a workflow. Just one.

The pain

You're paying a professional's salary for copy-and-paste work.

And the worst part isn't the money. It's that this person can do better things and is getting bored.

The same data, typed three times

It's in the email, it gets copied into Excel, and from Excel into the system. Three chances to get the same figure wrong, and when the error shows up two weeks later nobody knows which of the three steps it slipped in at.

Everything depends on someone remembering

Sending the payment reminder, notifying the warehouse, updating Friday's report. If that person gets sick or quits, the task simply stops happening and nobody finds out until it blows up.

The day goes by in ten-minute tasks

None seems serious on its own. Added up they're two hours a day, and they break up the day too: every interruption costs more than the ten minutes it took.

Do the math yourself: two hours a day is 40 hours a month. A full work week, every month, from someone you pay to think.

What it is

A task a person does today, done on its own.

A workflow is a three-part rule: when this happens, do that, and notify this person. We set it up and it keeps running. Without anyone pressing a button.

It's not a program you have to learn

Nobody on your team has to open anything new or log into another screen. The workflow works behind the scenes, in the systems they already use. People only notice that the task stopped existing.

It's not a months-long project

A workflow is set up in 5 to 10 business days and the setup is paid only once. It's not a digital transformation or a system change: it's taking one specific task off your plate.

A minimal monthly fee

Setup is paid once, it stays running and it's yours. After that it's $29 a month per workflow, which covers hosting and monitoring. We say it clearly from the start.

Real examples

Workflows we've already built.

So you stop reading and start recognizing your own.

Purchase order by email → sales orderThe customer's PDF arrives and the order is created in the system, with its lines and its price.
Overdue invoice → reminderAt 3, 15 and 30 days the notice goes out on its own, with the correct amount and invoice number.
Approved quote → warehouse noticeThe warehouse finds out right away, not when the salesperson remembers to go down and tell them.
New customer → full setupIt's created in the system, assigned a salesperson and sent the welcome email.
End of day → report to managementSales, collections and pending items, in the owner's email or WhatsApp, every day at 6.
Product below minimum → purchase alertThe person in charge finds out before running out of stock, not when the customer asks for it.

If reading this made you think “So-and-so does that every morning,” there's your first workflow.

How much it saves you

The math on a single workflow.

Based on the example at the top: 40 orders a day, 18 minutes each. Estimates for sizing, not a promise.

Time freed up 60 h / month

What that task alone used to take. At $10 an hour fully loaded, that's $600 a month that's no longer spent on copying and pasting.

The workflow pays for itself in 3 weeks

The $390 is recovered in less than a month, even counting the $29 a month for hosting and monitoring. From then on, the savings are yours every month.

Typing errors 0

A workflow doesn't get a quantity wrong or skip a line at 5 p.m. on a Friday. It copies the exact data, every time.

It's the cheapest service in the catalog: $390 once and $29 a month. That's why it's the one almost everyone starts with.

How we do it

5 to 10 business days, explained without the mystery.

The hard part isn't programming it. It's making the workflow hold up on the odd days: the email that comes in wrong, the customer who sends the PDF upside down, the system that goes down halfway through.

1

We look at the task for real

Not how it's supposed to be done: how it's actually done. We sit down with the person who does it and see the real steps, including the shortcuts and exceptions that are never in the manual. That's where most automations fall apart.

2

We build it and test it with your data

With your real cases, including the ugly ones. And we define what the workflow does when something doesn't add up: it doesn't make things up or keep going, it stops and alerts a person.

3

It runs in parallel before we let it go

One week doing the work at the same time as the person, to compare results. Only when they match does the person stop doing it. Nobody bets their operation blindly.

When you need it

If any of these happens to you, it'll help.

One-time setup. Then $29 a month per workflow.

The only decision is how many tasks you want off your plate. Almost nobody has just one.

Frequently asked questions

What people ask before deciding.

Does this mean I'm going to lay people off?

In practice that's not what happens. What we've seen is that the same people serve more customers and stop spending the day typing. If your goal is to reduce headcount, say so upfront in the assessment and we'll tell you with numbers whether it adds up or not.

What happens if the workflow makes a mistake?

When something doesn't add up, it stops and alerts a person. It never keeps going and makes things up. And during the first week it runs in parallel with whoever does the task today, precisely to catch those cases before letting it go.

Does it work if I don't use Odoo?

It depends on whether your systems allow connections. We verify that in the assessment, before charging you anything. If it can't be done, we tell you right there and we stop.

What if I change my process later?

The workflow has to be adjusted, and that is billed separately by the hour. We tell you now, not when it happens: we're not going to sell you a fixed price and then show up with a surprise invoice.

Why is the monthly fee so low?

Because a workflow, once it's set up, uses very little: it doesn't chat or run up usage costs like an assistant. The $29 a month covers hosting and monitoring, so that if something fails we find out before you do.
